SermonBoard helps pastors and church teams plan their preaching year. Your church's planning belongs to your church. This page explains, in plain language, what information we handle, why we need it, and the choices you have.
Who we are
SermonBoard is a sermon-series planning service at sermonboard.church. It is currently in a free, invite-only beta. When this policy says “we” or “us,” it means the SermonBoard team. You can reach us any time at team@sermonboard.church.
What we collect
When you request an invite
The request form asks for your name, email address, church name, your role, how many campuses your church has, and how you plan sermons today. We use this to review requests and get back to you.
Your account
- Your email address and the display name you choose.
- How you sign in: with a code we email you, or with Google. If you choose Google, Google shares your name, email address and profile picture with us.
- Which church or churches you belong to, your role there (owner, admin or member), and which boards you can view or edit.
Your church's planning
The content your team adds: church and campus names, boards, series, weeks, titles, scripture, speakers, notes, Idea Bank ideas and holiday labels. We also keep a change history (who created, changed or deleted a series, week or idea, and when) so your team can see what changed.
Usage in the app
- When a signed-in person opens a church's board, we record that they opened the app for that church, at most once per person, per church, per day, along with when they were last active.
- When someone switches between churches or sets up a new church, and when each person was last seen.
- Planning changes, from the change history above.
- When someone uses a few features: exporting a board, undo, speaking history, the Idea Bank, copying a share link, or opening the Team panel. We note this at most once per person, per church, per day, so we can learn which features help. For exports and share links we note which board, but never what's on it.
- Team activity, such as invitations sent and accepted.
Your church's team can see when each member was last active. The rest of this usage information is visible only to the two people who run SermonBoard. We use it to support beta churches and to understand what is working.
When you use the support chat
The chat button in the corner of each page lets you ask for help, report a problem or suggest a feature. We keep the messages you send, and a name or email address if you choose to give one. If you are signed in, the chat also receives your account's email address, display name and current church, so we know who we are helping without asking. An automated assistant may answer first from our help articles, and a person on our team can step in at any time.
Technical information
Like nearly every website, our hosting and database providers keep standard technical logs, which include IP addresses, browser details and the time of each request. The invite request form also uses your IP address to limit how many requests can be sent from one place, to prevent spam.
How we use it
- To run SermonBoard: show your boards, save your changes, and let your team work together.
- To sign you in and send the emails the service needs, like sign-in codes and team invitations.
- To review invite requests and set up new churches during the beta.
- To support beta churches, for example to notice when a church is stuck and offer help.
- To answer questions, problem reports and feature requests sent through the support chat.
- To fix problems, keep the service secure, and improve the product.
What we don't do
- We don't sell your information, or your church's.
- We don't show ads.
- We don't use Google Analytics inside the app or on shared boards.
- We don't use your church's planning for anything except running the service for your church.
Service providers
We rely on a few companies to run SermonBoard. They handle information only to provide their service to us.
- Supabase stores our database and handles sign-in. Data is stored in the United States (Amazon Web Services, us-east-1).
- Cloudflare hosts the website and routes email sent to our sermonboard.church addresses.
- Resend sends our sign-in and invitation emails.
- Supportopus (Millennial Apps, LLC) runs the support chat and stores those conversations for us. Questions about how it handles chat information can also go to support@supportopus.com.
- Google handles sign-in if you choose “Continue with Google.” We also use Google Analytics on the public homepage to understand visits and referral sources. It receives basic browser and device information and uses cookies to distinguish visits. We do not send invite-form contents, account details, church planning data, or URL query strings to Analytics. Advertising personalization and Google signals are disabled. See how Google uses this information.
Your church's control
- Export any time. Use the Export button to download your church's plan whenever you like.
- Decide who sees what. Church owners and admins choose who is on the team, their role, and which boards each person can view or edit.
- Delete on request. Email team@sermonboard.church and we will delete your account, or your church's data if you are its owner.
- Ask questions. You can ask what information we have about you, or ask us to correct it.
How long we keep data
We keep your information while your church's account is active. When you ask us to delete it, we delete it from the live service. Copies in our daily database backups are removed as those backups roll off on Supabase's regular backup schedule.
Security
Information sent between your browser and SermonBoard is encrypted in transit (HTTPS). Access to each church's data is limited to the people that church has invited, based on their role. Sign-in uses one-time email codes or Google, so there are no SermonBoard passwords to steal. No system is perfect, so if you notice anything that looks wrong, please tell us right away.
Children
SermonBoard is built for pastors and church staff. It is not directed to children under 13, and we don't knowingly collect information from them. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
If we change how we handle information, we will update this page and the date at the top. For important changes, we will also let church owners know by email before the change takes effect.
